Missed call text back for salons and barbershops

Salons miss calls because every stylist's hands are busy. What the first text should say to a salon client, how the reply becomes a booking, and what to hand to a person.

A salon misses calls because every stylist has their hands in someone's hair. Missed call text back sends the caller a text within seconds, asks whether they want to book and with whom, and moves them to your booking page or a person. For a busy salon it recovers bookings that would otherwise go to the salon down the street.

Why salons lose calls

The phone rings during a colour application, a blowout and a consultation at the same time. Nobody can answer without stopping mid-service. Most callers do not leave a voicemail. They call the next salon, or book somewhere online.

The first text

"Hi, this is Ava Salon. Sorry we missed your call, we are with clients. Are you looking to book, and with anyone in particular?"

Two questions: booking or not, and which stylist. That is what the front desk would ask.

The reply becomes a booking

"Yes, a cut with Maria" can be answered with the link to your booking page, where the client picks Maria and a time that fits the service. "Do you do balayage?" is answered from your service list. "How much is a full highlight?" gets your starting price and the note that it depends on length and thickness.

What goes to a person

Colour corrections. A client unhappy with a recent service. Anything about allergies or reactions. Requests to squeeze in today when the schedule looks full. These need a stylist's or manager's judgement.

After hours

The same text works at 8pm, with the salon's reopening time. Many salon clients book in the evening, so a booking link that works at 8pm is worth more than a callback at 10am.

What to measure

Missed calls per week, replies to the text, and bookings that followed. If replies are low, shorten the first text. If bookings are low, look at what happens after the reply.

Frequently asked questions

Will regular clients mind a text instead of a call back?

Most prefer it. A text they can answer between meetings is easier than a callback they miss.

Should the text include a promotion?

No. A reply to a missed call should be about the call. Promotions need marketing consent.

What if the caller wanted to cancel?

The reply will say so, and a person can cancel or move the appointment.
