Frequently asked questions
Can I undo a change to my knowledge base?
Yes. Every FAQ and every fact keeps a history of what it said and who changed it, and one button puts an older version back. Deleting is not final either: the wording is kept, so a deleted answer can be restored, and it comes back as the same entry rather than a copy. Rolling back adds to the history instead of rewriting it, so you can roll forward again if you change your mind.
What is a 'structured fact'?
One authoritative piece of information - a service and its price, your hours, a cancellation policy - stored with a category and a value, so the AI can quote it precisely instead of paraphrasing from a document.
Can the AI answer from my website or PDFs?
You can upload a PDF, Word document, text file or CSV, and we read it and propose what it says - services and prices, opening hours, policies, questions and answers. Nothing from a document is live until you approve it, so the AI still only ever answers from structured facts and approved FAQs. You can point us at your website too: we follow your sitemap, respect your robots.txt, never leave the site you name, and the same review step applies.
What happens to a file after I upload it?
We keep the text we read and delete the file itself. You can see that text on the Sources tab, so a file that produced nothing can be explained rather than argued with. A scanned PDF is refused with the reason: a scan holds pictures of words rather than words.
What happens when the AI doesn't know something?
It doesn't guess. The question is logged in your knowledge gaps with a running count, so you can see exactly what customers are asking that you haven't covered yet.
Who has to approve an FAQ before the AI uses it?
Anyone with the ai:configure permission (Owner, Admin, or Manager by default). A draft FAQ is never matched until it's marked approved.
