Toll-free vs local number for business texting

The practical differences between a toll-free and a local number for texting customers: how each is registered, how each is perceived, what each costs, and which fits a single-location service business.

For most single-location service businesses, a local number is the better texting number: customers recognise the area code, it can be the same number they call, and it is registered through A2P 10DLC like any other business number. A toll-free number makes sense for businesses that serve a wide area or want one number nationally; it is verified through a separate, simpler process and reads as "a company" rather than "the shop down the road". Both deliver reliably once registered. Neither delivers reliably unregistered.

What each one is

A local number has a normal area code and is a standard 10-digit long code. To send business texts from it in the U.S., the business registers its brand and its messaging use case through A2P 10DLC (application-to-person, 10-digit long code) with the carriers, via the messaging provider.

A toll-free number starts with 800, 888, 877, 866, 855, 844 or 833. Texting from it requires toll-free verification, a lighter process than 10DLC: business details and a description of the messages, submitted through the provider.

Perception

A local number looks like the business. Customers in your area code see a number that could be a neighbour's and reply to it as a person. A toll-free number looks like a company: fine for a regional chain or a business that customers expect to be large, less warm for a salon or a dental office. Neither perception is wrong; match it to how customers think of you.

Calls and texts on one number

A local number can usually be your voice number too, so the number on the door is the number that texts. Toll-free numbers can also take calls, and for a business with customers across several states that is a feature. For a single location, one local number for both is the simplest arrangement and the one customers find least confusing.

Registration and throughput

10DLC registration involves brand verification and campaign registration, takes days to a couple of weeks, and sets a daily message allowance based on the brand's trust score. Toll-free verification is quicker in many cases and comes with a throughput that suits most small businesses. For a business sending a few hundred texts a day, either is enough. Cost

Both are inexpensive to rent monthly. Per-message carrier fees differ slightly between the two and by carrier; the difference is small at small-business volumes. Registration has one-time fees for 10DLC and usually none for toll-free verification, though this varies by provider.

Which to choose

Single location, local customers, one number for calls and texts: local. Multiple locations in one metro: a local number per location, or one main number with the AI asking which branch. Regional or national service area, or a business that wants a single memorable number: toll-free. Unsure: local, because it is what most customers expect from a business they can drive to.

Can I text from my existing local number?

Will customers know a toll-free text is from us?

Only if the message says so. Every business text should name the business regardless of the number type.

Do I need both?

Rarely. Pick one for texting and keep it consistent; two texting numbers means two threads with the same customer.
