Staff rotas and availability: setting them up so online booking stays honest

Online booking is only as accurate as the rota behind it. How to set working hours, qualified services, time off, holidays and buffers so every slot offered is a slot someone can actually do.

Online booking offers a slot only if a qualified staff member is working, free, and not on leave, with enough time for the service and its buffers. So the rota behind it needs five things set correctly: working hours per person per location, which services each person can deliver, time off, business holidays, and buffers per service. Get those right and customers can book themselves without your team double-checking every appointment.

1. Working hours per person, per location

Set each person's regular hours, and where they work each day if they move between branches. "Tuesdays at Northgate, Thursdays at Main Street" is a rota, not a note.

2. Qualified services

Each person should only be bookable for services they actually do. A hygienist is not bookable for a crown; a junior stylist may not do colour corrections. This is the setting most often left at "everyone does everything", and it produces the most awkward mornings.

3. Time off

Holidays, training days, appointments of their own. Enter them as soon as they are known. A booking made into time off is a phone call to a customer later.

4. Business holidays

Days the whole location is closed. Set them months ahead for the ones you know: public holidays, the week between Christmas and New Year if you close.

5. Buffers

Time before or after a service for set-up, clean-up or notes. A 45-minute service with a 10-minute buffer takes 55 minutes of the calendar. Our post on booking buffers covers how much.

The timezone

Each location's hours are in that location's timezone. A business with branches in two timezones needs each branch set correctly, or appointments drift by an hour when the clocks change.

A monthly check

Once a month, look at next month's calendar for each person. Is their time off in? Are the holidays in? Did anyone change their regular hours? Ten minutes prevents most booking mistakes.

What about part-time staff with changing hours?

Enter their hours week by week, or as time off against a standard rota. Either works if someone owns it.

Can customers pick a specific person?

On most booking pages, yes, for services that person is qualified to deliver.

What if someone calls in sick?

Enter it as time off immediately, then contact the customers already booked.
