Snoozing conversations: how to use it without losing people
Snooze hides a conversation until a date so it comes back when it can be acted on. When to snooze, when not to, how to choose the date, and the note that should go with it.

Snoozing a conversation hides it from the working list until a date you choose, then brings it back. Use it when the next step cannot happen until then: waiting for a supplier, an insurance check, or a customer who said "ask me next week". Always add a note saying why, choose the date the action becomes possible, and never snooze a conversation where the customer is waiting on you.
When to snooze
- You are waiting on someone else. A part is on order, an insurer is checking coverage, a colleague is out until Tuesday.
- The customer asked for time. "Can you check back after the 15th?"
- The next step has a date. A follow-up after a treatment, a quote to revisit when the season starts.
When not to snooze
- The customer is waiting on you. Snoozing hides your debt, it does not pay it.
- You are not sure what to do. Ask a colleague or add a note; do not hide it.
- It is a complaint. Complaints get answered or handed to a manager, not deferred.
Choosing the date
Pick the day the action becomes possible, not a vague "later". If the part arrives Thursday, snooze until Thursday morning. If the customer said next week, snooze until Monday. A date too far out loses the customer; too soon, and the conversation comes back before anything can happen.
The note that goes with it
One line: why it is snoozed and what to do when it returns. "Waiting on Delta pre-authorisation, call patient with the result." The person who sees it return may not be you.
What happens if the customer writes first
A new message from the customer should bring the conversation back immediately, whatever the snooze date. If your tool does not do that, snooze less.
A weekly check
Once a week, look at everything snoozed. Anything snoozed for more than a month is probably a conversation someone forgot. Decide: act, close, or re-snooze with a reason.
Frequently asked questions
Is snoozing the same as closing?
No. A closed conversation needs nothing more. A snoozed one needs something later.
Should the AI snooze conversations?
It is a judgement about when something can happen, so it is usually better left to a person.
What about follow-ups to leads?
Use a follow-up task with a due date on the lead, so it shows in an overdue list if it slips.
