How to calculate your no-show rate, and what to do with it

The no-show rate formula, the three mistakes that distort it, how to split it so it tells you something, and the fixes that match each pattern.

Your no-show rate is the number of appointments where the customer did not arrive and did not cancel, divided by the number of appointments that were due to happen, over the same period. Count late cancellations separately. Then split the rate by service, day, time and booking source, because a single average hides the pattern that tells you what to fix.

The formula

No-show rate = no-shows ÷ (appointments that were still booked at their start time)

Use a month or more. A week is too noisy for most small businesses.

Three mistakes that distort it

Counting cancellations as no-shows. A customer who cancels the day before gave you a chance to refill the slot. Track late cancellations (inside your policy window) as their own number.

Dividing by everything ever booked. Appointments cancelled days ahead are not part of the risk. Divide by what was still on the calendar at start time.

Forgetting who did not get a reminder. If some customers never agreed to reminders, compare their rate with everyone else's. The difference is the value of reminders for your business.

What a good rate looks like

It varies too much by industry to quote a number worth trusting. Compare against your own last quarter, not a benchmark from someone else's business.
