Booking the showing in the thread

The lead says Saturday morning; the assistant offers 10:00 or 11:30 from the listing agent's calendar; the lead picks one; it is booked with the address and the agent's name in the confirmation. No "I will check and get back to you". If the property needs the listing agent's confirmation, the assistant says the time is being confirmed rather than promising it.

Seller leads

"What is my home worth" enquiries need a different first reply: no number, ever, by text. "Happy to give you a proper valuation. Would you like me to come by, or start with a quick call?" Then the address, the timeline and the reason for selling, and a listing appointment booked.

What the assistant does not say

No price opinions on a property. No "I think they would take less". No comments on neighbourhoods that touch fair housing. No financing advice. Load your brokerage's approved wording for each of these and let the assistant hand off.

One record per lead

A lead who DMs on Instagram, then texts from the sign, then fills in the portal form is one person, not three leads in three tools. Keep one record with every conversation on it, the showings booked, and which agent owns them. Open house sign-ins go into the same record with a same-evening text.

Can the assistant say whether a property is still available?

Only if that fact is kept current in its knowledge or connected from a source. Otherwise it captures the interest and confirms through the agent rather than guessing.

How are leads assigned between agents?

By listing, by area, round robin, or to a named agent: rules you set. Every conversation shows who owns it.

Does this replace the agent?

No. It replaces the twenty minutes between the enquiry and the agent seeing it, which is where the lead was lost.
