Speed to lead for independent insurance agencies

Quote requests go to several agencies at once. How an agency replies first, sorts the quote from the service request, gets the right details for the agent, and never quotes a premium by text.

An insurance quote request is usually sent to several agencies at once, and the one that responds first with something useful gets the call. Speed to lead for an agency means an instant reply that sorts the enquiry (quote, policy change, claim), captures what the agent will need, and books the call. No premium is ever quoted by software, and no coverage question is ever answered by it.

Where agency leads come from, and how fast they cool

Comparison sites, your own website, referrals who text the office number, and the carrier's "find an agent" page. Each sends the same person to three or four agencies. The lead has a problem to solve today (a new car, a closing date, a renewal notice), and the agency that gets them to a licensed person first is usually the one that writes the policy.

The first reply sorts the enquiry

"Hi, this is Lakeside Insurance. Thanks for reaching out. Is this about a new quote, a change to an existing policy, or a claim?" Three answers, three paths. Quotes go to the agent who writes that line. Changes go to the account manager. Claims get the carrier's claims number immediately and an agent is told.

Getting the agent what they need

For an auto quote: drivers, vehicles, current carrier, and when the current policy renews. For home: address, year built, current carrier. The assistant asks one or two per message, in conversation, and stops when the agent has enough to prepare. It does not ask for a Social Security number or a driver's licence image by text.

Booking the call

"Priya writes our auto policies. She can call you today at 2:00 or tomorrow at 10:00. Which works?" The lead picks, the call is on Priya's calendar with the details captured, and the lead gets a confirmation. A quote conversation that ends with a booked call converts; one that ends with "someone will reach out" does not.

What the assistant never says

A premium, a rate, an estimate, whether something is covered, whether a claim will pay, or that a change is in effect. Every one of those is a licensed person's sentence. The assistant captures and routes; it does not advise. Load the wording for each handoff so it sounds like your agency.

Renewals and service

Existing clients texting about a renewal or an address change are leads too, in the sense that a slow reply sends them shopping. The same instant reply, attached to their record, routed to their account manager, keeps them.

Claims at 11pm

A client with a claim after hours needs the carrier's 24-hour claims number, not a conversation. The assistant gives it from your knowledge, tells the client an agent will follow up in the morning, and creates the task.

Frequently asked questions

Can it give a rough premium range?

No. Even a range by text is a quote, and quoting is for licensed staff. The assistant books the call and says the agent will have a number for them.

How does it route by line of business?

Rules you set: personal lines to one team, commercial to another, or by named account manager per client.

Does it work with our agency management system?

Frontiva keeps its own record per client, and contacts import and export as CSV. Ask us about your system specifically.

What Frontiva does here

The insurance page shows the quote, service and claims paths. In Frontiva every new enquiry becomes a lead with a visible score, an owner (assigned by hand or to the teammate with the fewest open leads) and follow-up tasks with due dates (lead management), and the AI answers from approved knowledge, carrier claims numbers included.
